Privacy While Cycling in Holiday With Vietnam By Bike

When you contact us with questions regarding our bicycle tours, custom itineraries, or e-bike rentals, we collect your full name, email address, phone number, nationality, and specific travel preferences in order to provide an accurate itinerary and quote.

When requesting an official PDF brochure or tour factsheet, we collect your email address to send automated verification links. Your contact information may be stored securely in our system so our tour consultants can follow up on your enquiry.

If you subscribe to the Vietnam By Bike® mailing list, we send periodic updates (1–2 times per month) featuring upcoming departure dates, special cycling deals, and regional travel tips. You may opt-out at any time by clicking the “Unsubscribe” link at the bottom of any marketing email.

When booking a tour with us, we collect essential booking details to prepare your trip smoothly:

• Personal & Contact Details: Full name, date of birth, nationality, phone/WhatsApp number, and residential address.
• Emergency Contacts: Name and telephone number of a designated individual to contact in the unlikely event of an emergency during the ride.
• Passport & Travel Documentation: Passport numbers and expiration dates, which are required by regional authorities for hotel registration, domestic flights, boat transfers, and border crossings across Vietnam, Cambodia, Laos, and Thailand.
• Rider Specifications & Sizing: Body height (in cm/ft) to assign correctly sized Trek, Giant, or GT bicycles/e-bikes, dietary requirements, and medical considerations relevant to physical cycling conditions.
• Travel Insurance & Logistics: Insurance provider details, policy numbers, and flight arrival/departure schedules.

Following your cycling holiday, we invite you to complete a post-tour evaluation. Participation is entirely optional, and feedback is used internally to maintain high standards for our guides, support vehicles, and accommodation partners.
